(SHR6E037P~002) (LEG23085421) Event evaluation

by

The gig as a whole was a unique and memorable experience which worked well with making the most of the gig’s layout. I feel we utilised the space we had to make a fun and new experience with the whole gig being sat down and in a circular format which worked very well for the vibe and aesthetic we were aiming for even though we thought this task would be tough the payoff was well enough of a payment in my eyes, I felt so accomplished looking at the artists performing what me and my team had created it was well and truly a great experience in my mind. All the artists respected us and appreciated us for putting this gig and inviting them to be a part of such an event, they were all on time for soundchecks and we never fell behind schedule which we actually had more time than we anticipated and that was a great time to change things such as equipment and the seating plan around and set up like we would’ve wanted it to be, we had gotten a van so we could transport all the equipment to the venue due to Dane asking one of the members of the bands playing which he was more than happy to provide and it gave him time to give his input towards the placement of the drums which he would be playing later on in the evening, we all greeted all members and made sure they were all okay and if they needed anything that we could’ve provided for them.

In my opinion I think that the gig was a great success all around better than all of us could of imagined, we all thought not many people would come to the gig we put on, but we definitely proved ourselves wrong with there being an astounding amount of people. We had thought a lot about the safety of everyone and prevented a lot of hazards to happen for example leaving a section for people to get out safely of the building and pat testing equipment not from the venue or taping down loose wires, so no one is danger of tripping, which is quite a hazard o]amongst the venue space we had and that the seating plan would’ve been so close but even then we had the solution.

There were many areas we could’ve improved on which I think could’ve benefited more to the event such as getting the layout of the seating more thought without inhibiting anyone’s view of watching the show but even with being a few things we could’ve done better I feel with time and practice we could’ve made that event better by adding new ideas or having a more thought out plan for seating, stage plan and the exits being clearer.

The atmosphere we created was a well dim event with the a slight melancholy kick to it the seating arrangements and decorations added more to the aesthetic with all the lamps we had and rugs that we laid to make the vibe more accurate to what we envisioned it was a well produced event that we all take pride in participating in and some of us even considered doing more of in the future.

Our box office was located just at the entrance so we could keep a count of all the people coming in and so it would be convenient for everyone purchasing on the night which a lot of people did rather than online, we used and a wooden chair holder that the venue had lying around and we thought to decorate it and make it into the box office where we would sell merch and venue tickets which was great improvisation on our behalf or else it would’ve just been someone stood next to the door asking for tickets but with this we decorated it and made it part of the gig aesthetic putting scarfs on the table so it would seem like it belonged there instead of just having it randomly at the back of the venue, we had used square on an iPhone to collect payments on the door due to one of us having an account already.

Security for the night was minimal with only about 3/4 people staying near the door, we put the box office near the entrance so when new people came in we could keep an eye out and could charge them for the ticket, we also drew a mark on peoples wrist so we would know if they had paid and gained entrance in the event they would go outside or leave the venue this worked very well and we kept an eye out at all times for people entering or leaving or in the event if anything happened one of us would make sure everything is resolved.

The health and safety for the event was run on a tight ship where we took into consideration of all the things we had thought about beforehand on the risk assessment and we made sure to prevent anything we thought would be an immediate threat to the public and to the artists so we tried our best to focus on the safety of everyone that attended this was very helpful to focus on other things while the show was happening which gave us a leverage to focus on new oncoming problems that might’ve occurred at any time of the show this kept us all focused and anticipating scenarios while simultaneously.

we had made a walk way so that people could get through incase of an emergency and we had taped the wires down because the seats and walkways would be all together giving the risk a greater chance to happen.

The production of the gig consisted of many aspects that we thought would’ve been beneficial to make this show a rememberable event for everyone listening or performing which consisted of bringing equipment from the outside such as lamps, rugs, plants which we added around the venue to add to the aesthetic we wanted to give for the gig which was needed to acquire that specific look that we had envisioned also we had decided to instead of performing on the main stage we would use it as an extension of the seating arrangement and we would make the gig a circular stage in the middle of the crowd we thought this would be more beneficial for a watching stand point and we thought that it would be different from just putting on a normal show where they all play on the stage so we decided to make it a cosy sat down gig.

When we first got the Stage plan sorted we had envisioned a clear idea all together about how we would like it to look some of us wanted the traditional layout but some of us wanted a circular gig depending on the venue and as soon as we got a spot at the Attic we knew we had to do the circular layout which I my opinion made the event far more than just a concert it made it into an experience for everyone being a part of the gig and for the audience to have more of an experience being eye to eye with the performers and also them being closer being able to watch a lot of what was happening musically

For the artist liaison we had ensured a free drink for every member of the band plus add Ons if needed, we had a great connection with getting in touch with all the artists and ensured we had got all they needed such as we provided a backline for all members with any musical equipment they needed which we were more than happy to provide for the, we ensured them we could get anything and for it to be transported and set up before their arrival which we had time to do so before the sound checks even though we had to keep in mind what time we could make noise and check all the levels either way we acquired what everyone needed and made sure to the best we could to get it for them.

For our promotion we decided to take a few different ways to promote this gig for the public to see one of the ways being we printed off some leaflets to stick up around Leeds but mainly we decided to stick them up on every floor of the conservatoire which we believed we could catch peoples attentions while they wait for lessons or going to lesson or even eating at the café bar, we even stuck some up on every toilet in the building which we thought could catch peoples attention, one of us (Dane) also went to the university of Leeds to promote there where he bought sweets and offered people them if they were interested which a few people were stated by him this also broadened our horizon because now instead of just uni being promoted we had 2 universities aware of the event we were hosting which helped us gain more attraction, he also stuck up leaflets around there so it could be more people interested.

For our online marketing we all decided to put an Instagram story stating the time, date, location and who will be preforming on the night, we had also asked the bands to do the same so they can gain more attraction to the gig making the likeliness of more people attending greater, this was a good approach in my opinion because of the fact we all are helping gain more publicity for the gig through many diverse set of people and different ways because all of us published the post differently than the others catering to our own vibe and way of doing so

Our financial outcome  was a great turnout that we all didn’t believe we could do, our total revenue was £575 which for all of us was profit and we had paid everything and everyone thar we needed, we did not make a profit but that was never our goal to begin with we wanted it to be an experience and we didn’t care for money, we had sold a total of 72 tickets 45 of them being bought online totalling an amount of £390 and 27 of them bought on the door totalling the amount of £230 we had a few fees such as the fatsoma fee which we used for the online tickets which was a deduction of £45, we also paid the venue which was a sum of £165.32 and we also had poster charges which was and additional £20.

For the artists we had promised the headliner a sum of £75 and the supporting acts £50 each but seen as though we made a profit we decided we would add extra money for them which in the end we decided the headliner would get a total of £146.33 and the headliners would get a total of £121.33 which they would’ve made a significant amount more, we were left with £0.69 of all the expenses which was perfect for us and we were happy with the outcome.
